Pre-Arrival Planning
- Notify port agents and authorities of ETA, cargo details, and crew/passenger lists 72–96 hours before arrival.
- Prepare and submit all pre-arrival documents: certificates, crew lists, cargo manifests, dangerous goods (if any), and ship particulars to port and immigration.
- Update passage plans and verify navigation charts and publications for local port information and latest notices to mariners.
- Test ship communications: radios, signaling lamps, AIS, and contact with engine room.
- Check and prepare mooring equipment, anchors, and tug arrangements.
- Conduct steering gear and engine tests in accordance with SOLAS requirements.
- Conduct safety and security briefings for crew: assign mooring, monitoring, and emergency roles.
- Ensure all lifesaving and firefighting appliances are operational and correctly logged.
- Review and comply with ISPS Code requirements and arrange pilot boarding details.
- Confirm ballast water and fuel management plans are ready for inspection and meet local environmental regulations.
- Secure or stow deck equipment; verify safe access ways for pilot and port authorities.
- Check readiness for customs, immigration, health, and quarantine inspections (CIQ).
